Cancellation Policy

Membership Plan Cancellation Policy

  1. Autopay or direct debit Rolling Membership Plans come with special benefits at very competitive prices, and their own cancellation conditions.

  2. When you buy a Rolling Membership Plan you are committing to 3 months, so you can’t cancel in the first 3 months of your membership. You can cancel your plan after the first 3 months, when, if you carry on, your plan will auto-renew, and will then auto-renew every 3 months after that. After the first 3 months, you can cancel whenever you want, as per 3, 4, 5, 6 below.

  3. Our studio places a high value on the loyalty of our members and understands that circumstances may change. If you need to cancel your membership, we kindly request that you provide a notice of cancellation at least two weeks in advance of your next monthly membership renewal by email. This allows us to make all necessary administration and system updates.

  4. Please note that any cancellation requests received less than two weeks in advance may still be subject to the following month’s fee. We appreciate your understanding and cooperation.

  5. To cancel your membership, please contact our studio reception or send us an email at info@polyworks.fit. Our team will guide you through the cancellation process and answer any questions you may have.

  6. We reserve the right to amend or modify the terms of this cancellation period clause at our discretion. Any changes will be communicated to you 30 days in advance.

General Class Booking & Cancellation Policy

  1. The booking and cancellation policy is the same for classes, workshop classes, workshops, courses and appointments and any other similar events at or around the studio. When we refer to classes, we refer to all of them.

  2. Booking window is 14 days in advance for Flat Rate paying customers, and 28 days in advance for Rolling and Fixed plan members.

  3. Classes can be booked online via our personalised app or the Website, or in studio at reception or over the phone. No bookings will be taken via email.

  4. The Studio reserves the right to reserve one place in each class for Flat Rate paying customers that get released to Rolling and Fixed plan members 48 hours before the class if it hasn’t been booked by then.

Cancellation Windows & Waitlist Policy

  1. All classes must be cancelled online via our online app or website, or by contacting reception, at least 24 hours before the start of a Class. If you fail to cancel and miss the class, you will be recorded as a ‘No Show’ which means no refund.

  2. If Rolling or Fixed members contact reception with less than 24 hours to go before the class and ask them to cancel your booking, you will be recorded as a 'Late Cancel' and if your place is then taken by someone else, then reception can, at their discretion, refund your credit.

  3. If Flat Rate paying customers contact reception with less than 24 hours to go before the class and ask them to cancel your booking, you will be recorded as a 'Late Cance'and if your place is then taken by someone else, then reception can, at their discretion, make a 50% refund.

  4. For cancellations more than 24 hours before the class starts, you must cancel online via our mobile app or our Website, or phone or visit reception. For cancellations less than 24 hours before class starts, you must phone or visit reception.

  5.  If a class is fully booked, you can add yourself to the online ‘waitlist’. Everyone on that waitlist gets notified at the same time when a place becomes available, to book on a first come first served basis. Once you have made the booking, normal booking policy applies.

  6.  If you book a class off the waitlist less than 24 hours before the class begins, and don’t 'Late Cancel' or attend the class, you will be recorded as a ‘No Show’ so no cash or credit payment refund.

  7. If you book a waitlisted class in the 24 hours before the class, you can contact reception and 'Late Cancel' with less than 24 hours, but more than 2 hours to go before your class starts, as in 2 and 3 above.

  8. ‘Waitlist’ places only become available for a class up to 2 hours before the start of the class, to give enough time for anyone who can attend to book.

  9. The 'Late Cancel' window for all classes closes 2 hours before the class starts. After that, failure to attend the class is always a'No Show' and there is no refund.

  10.  We will not accept any cancellations via email or social media.

Class Cancellations by Studio

  1. The studio may cancel if the required minimum number (if any) for the class have not booked for that class.

  2. The required instructor and/or equipment is not available.

  3. If we cancel a class, in such circumstances, we will refund to you the credit or cash payment made for that class.

  4. We will use all reasonable endeavours to start each class at the scheduled start time but the start may be delayed by the overrun of an earlier class or by other circumstances. If the delay to the start is at least 20 minutes you may cancel the class and reception will refund your fee or, if the class was booked as part of a membership plan, issue a replacement credit.

  5. At the discretion of the teacher, anyone arriving late for a class will not be admitted into that class.

  6. Details of class times at the Studio may vary from time to time including cancellations of individual classes. Class times are published by the Studio and will be available on the mobile app and Website.
