Definitions
In this Agreement, "Polyworks Ltd" is Polyworks Studio in Skipton. "You/Your" means the Polyworks Studio member and person whose name and signature appear on this document.


General Agreement

  1. You are entering into an Agreement with Polyworks Ltd. The terms of the Agreement differ depending on the flat rate card, rolling or fixed membership plan. Please read carefully.

  2. You cannot transfer this agreement to anyone else.

  3. You agree not to conduct any kind of commercial or business activity and will not act as a teacher for any other member.

  4. This agreement is governed by English Law.

  5. You are responsible for informing Polyworks Ltd of any changes to your personal details and contact information.

  6. At the point of signing up to a Polyworks Ltd membership plan you must agree to the terms and conditions, and then when prompted for your digital signature, you confirm your acceptance by signing.

  7. The booking and cancellation policy is the same for classes, workshop classes, workshops, courses and appointments and any other similar events at or around the studio. When we refer to classes, we refer to all of them.


Rolling Membership Plans 

  1. There are four rolling monthly or annual plans to choose from, with total 8 class credits per month each, and a range of listed benefits, like rolling 4 week advanced booking window.

  2. Two of the plans are mixed, offering a combination of mat and apparatus studio classes, two are pure, which means class credits in just the mat studio, or the apparatus studio.

  3. The mat studios offer yoga and pilates mat classes, aerial yoga classes, barre classes, tai chi classes, meditation classes, and others if there is demand and available teachers.

  4. The apparatus studio offers group reformer apparatus classes.

  5. The Mat Mix plan comes with a mat studio balanced allocation of 6 mat studio class credits and 2 apparatus studio credits, and all listed benefits.

  6. The Apparatus Mix plan comes with an apparatus studio balanced allocation of 6 apparatus studio class credits and 2 mat studio credits, and all listed benefits.

  7. The Pure Mat plan comes with 8 mat studio credits, and all listed benefits.

  8. The Pure Apparatus plan comes with 8 reformer apparatus credits, and all listed benefits.​​

Rolling Membership Plans Policy

  1. Polyworks Ltd offers rolling membership plans to cater to different needs. When you sign up for a direct debit based membership, you will receive plan allocated credits, which can be supplemented by Premium Credits, at listed prices.

  2. Rolling membership plans bought online or at reception come with a 3 month commitment before they can be cancelled, and once cancelled, any outstanding credits will be available until the end of that month in which the plan is cancelled, either online or at reception.

  3. As soon as payment and direct debit details are complete, members can book up their plan’s credit allocation for the month ahead, with a clear view of the timetable for the whole month.

  4. At the end of the month from purchase date, on exactly the same day and hour (if plan is purchased on last day of month, it will renew on last day of month), their plan’s monthly credit allocation renews with an email notification.

  5. And so on, for the first three months, and after that every month until a member cancels their plan, online or at reception.

  6. The advanced booking window is fixed at 28 days ahead from the viewing day, so offering a rolling window of the class timetable forward 28 days from the viewing date. So, from the day the plan with 8 credits renews, the member can see and book or waitlist classes 28 days ahead.

  7. Polyworks Ltd reserves the right to make changes or modifications to the membership plan at any time. This includes adjustments to prices, discounts, or the number of classes offered.

  8. We will inform you at least 30 days in advance of any upcoming changes through email. The notice will include the effective date of these changes.

  9. Only the person named on the membership can use the rights and privileges of the membership at any time.

Premium Credits - Rolling Credits

  1. Extra, unlimited Premium Credits over allocation can be purchased by plan members, at any time, at the listed special prices, and used to book or waitlist classes 28 days ahead, from purchase date.

  2. Premium Credits can be bought to top up a plan’s monthly credit allocation at any time, or book a class on the calendar viewing date as it becomes available, up to 30 days from purchase.

  3. So, as a month plan draws to an end, members can advance book and waitlist classes 30 days ahead by purchasing Rolling Credits before their plan renews.

Free In Studio Virtual Classes

  1. In addition to generous credit allocations, 4 week advance booking window, and unlimited Premium Credits at heavily discounted prices, members who buy a rolling plan also get free access to in studio virtual classes, that can be booked or waitlisted three days in advance.

  2. Virtual classes are led by in studio screen showings of videos in the Polyworks Studio Digital Library, recorded by Polyworks Studio teachers for the purpose, as shown on the class timetable.

  3. A member can book and attend any class on the calendar, as long as they have enough experience to follow the class without the teacher present.

  4. Each class video will be started by reception at scheduled time, and if only one member is present, there is the option to request a favourite video, or no video, which allows the member to just enjoy their own mat or apparatus workout as if they were at home, but with all the studio perks.

  5. Booking policy is less formal, members can cancel any time up to start of virtual class, although persistent No Shows that deprive other members of a place on popular classes can expect, after warnings, to have their access to this benefit temporarily withdrawn.

Bonus Credits

  1. Members who don’t cancel and waitlist in any month can claim a Clean Sheet, and a bonus Premium Credit from the studio, which they must claim at reception.

 

Freeze Options

  1. Members can freeze their membership for one month every year, to cover summer holidays or medical operations for example, online or at reception, at least two weeks prior to the one they want to freeze.

  2. They can also freeze their Rolling Plan to cover any booked and paid for Ultra Class Pass course challenge, which comes with special reserved class corridors (see Ultra Class Pass T&Cs below).

 

Guest Credits

  1. 1. You can use up one plan credit every month on a named guest, as long as theyattend the class with you, and check in on reception. You can also buy one Premium Credit every month for a guest, as long as you attend the same class together, and the guest checks in on reception.


Log in to Online Classes

  1. Members can use their plan or premium class credits to log into any online live streamed classes.

Digital Library

  1. Members have free access to the digital library.


Fixed Membership Plans 

There are two types of non-direct debit plan that can be bought online or over reception, each with their own special benefits and flexibility – Prepaid Top Up Card and Ultra Class Pass Course.


Prepaid Top Up Card

  1. The Prepaid Top Up Card account must be opened on reception.

  2. There is a minimum deposit amount required to open your Prepaid account, which is topped up by the studio. After that, either at reception or online, you can pre-pay into your account in fixed deposits of £50, £100 or £150, which the studio then tops up as listed. The higher your deposit, the higher % top up by studio.

  3. The card can be used to buy all mat and apparatus studio Classes with Premium Credits at the listed price, which have a 30 day shelf life from purchase. So, as long as you have sufficient credit in your Prepaid Card account, you can buy Classes with Premium Credits.

  4. You also get to purchase all other Polyworks Studio products and services with a 10% discount.


Polyworks Ultra Class Pass Course
 

  • You can purchase a Polyworks Ultra Class Pass course with an up-front one-off payment that entitles you to attend classes in special reserved class pass time corridors on the timetable.

  • You can book 4 week, 8 week or 12 week mat pilates, yoga, barre or reformer class pass courses.

  • The first class of each course is teacher led, but thereafter the member can attend in the time corridor by checking in on reception iPad, until the class pass course time limit expires, no advance booking required.

  • You also get to purchase all other Polyworks Studio products and services with a 10% discount.

Fixed Membership Plan Policy

Prepaid Top Up Card

  1. The prepaid top up card can only be opened and activated on reception, with a minimum £50 deposit to open the account, topped up to £60 by the studio.

  2. There is no time limit for when the amount in the card has to be spent.

  3. Once activated, the account can be used to purchase all studio classes at special Premium Credit prices (shelf life 30 days), and everything else including treatments, courses and anything purchased in the Flying Shuttle Café, at a 10% discount.

  4. You won’t be able to make a purchase if there are insufficient funds in the account to cover the purchase, but as soon as the account is refilled, either online or at reception, it’s good to go again.

  5. The advanced booking window is fixed at 28 days ahead from the viewing day, so offering a rolling window of the class timetable forward 28 days from the viewing date. So, as long as the amount in the card covers the class, the member can see and book or waitlist classes 28 days ahead.

  6. You can use one Prepaid Credit per month on a guest, following General Guest Pass T&Cs below.

  7. Polyworks Ltd reserves the right to make changes or modifications to the account membership plan at any time. This includes adjustments to prices and discounts.

  8. We will inform you at least 30 days in advance of any upcoming changes through email. The notice will include the effective date of these changes.

  9. Only the named Prepaid Top Up Card account holder can use the rights and privileges of that membership at any time.

Ultra Class Pass Course

  1. The one month class pass course comes with 20 class passes to be taken over four weeks in the Mon to Saturday reserved class pass course time corridor, the two month with 40 class passes over eight weeks, and the three month 60 class passes over twelve weeks.

  2. The class pass course is designed to showcase the incredible progress that comes with repetition. So, Ultra members should aim to complete five out of six classes available every week, for the duration of the course.

  3. You have to use the class passes within the allotted course time, in the set class pass course corridor.

  4. After the first teacher led class, you follow a recorded routine created by the teacher, so the Ultra class pass courses are only available to those of intermediate ability and above.

  5. The teacher will monitor progress and offer advice and encouragement during the course, and be available to make suggestions, but the idea is for you to tackle the course alone as far as possible, after the original induction.

  6. You get 10% off all Polyworks Studio products and services for the duration of the course.

  7. Rolling Plan members can freeze their rolling plans for the 30, 60 or 90 day duration of any Ultra class pass course they pay for, with Ultra member T&Cs and benefits.

  8. Your Ultra member benefits include in studio virtual classes and access to the video library, while you are class pass course members.

  9. Premium Credits are available to Ultra Class Pass Course members so that they can book other teacher led classes in mat and apparatus studios with Premium
    Credits while they are doing their Ultra Class Pass Course.

  10. Polyworks Ltd reserves the right to make changes or modifications to the Ultra membership plan at any time. This includes adjustments to prices, discounts, or the number of classes offered.

  11. We will inform you at least 30 days in advance of any upcoming changes through email. The notice will include the effective date of these changes.

  12. Only the person named on the Ultra membership can use the rights and privileges of the membership at any time.

  13. Once the course is complete, Ultra membership and benefits are ended.


General Payment Terms

  1. In order to join any class, payment must have been made prior to attending.

  2. The prices for Flat Rate Card, Rolling and Fixed Memberships and Rolling and Prepaid Credits can be found at the Studio, on our Website, and our mobile app.

  3. These prices and credit allocations may be subject to change at our discretion.

  4. VAT will be added to our prices when we become VAT registered.

  5. Flat rate card payments can be made online through the Website or our mobile app using the credit and debit cards listed on the payment pages.

  6. For Rolling membership direct debit subscriptions, the start date is the date of purchase. Direct debit payments will be charged to the Member's debit card on the agreed-upon day and at monthly intervals thereafter until the membership expires, is cancelled under our cancellation policy or an alternative date is agreed upon with the Member at the sole discretion of Polyworks Ltd.

  7. If there are any lapses in Membership payment, including the non-payment of any fees owed, an administration fee may be charged at our discretion upon reapplication for Membership.

  8. Our payment system will try 3 times after the first payment failure at which point your account will be automatically suspended and subject to the terms of our cancellation policy.

  9. Unless stated otherwise in these Terms and Conditions, like for Guest Passes, payments for Classes, courses, monthly and annual subscription fees, prepaid cards, and gift vouchers are non-refundable and non-transferable. Any refunds granted will be solely at our discretion, unless included in statutory rights of cancellation.

  10. Rolling members may experience some delay in the release of their plan credits in the case their direct debit for the new month doesn’t clear and has to be represented. After it has been represented three times, the membership and all bookings will be temporarily suspended until payment is cleared.


Account Freeze Policy

One Month Freeze
Rolling monthly membership plans can be frozen for one month in every twelve to cover things like summer holidays, long term illness, a family emergency, or financial hardship.

Ultra Class Pass Freeze
Rolling Membership Plans can also be frozen when a rolling member books and pays for an Ultra Class Pass course to cover the duration of the course.


Children, Family-Classes, Mother-Baby Classes

1. All minors under the age of 16 must be accompanied by an adult to the Classes except Teenage Yoga/Pilates Classes.
2. Please note Kids Yoga/Pilates, Baby massage and Baby yoga are stand-alone courses and are not included in membership.
3. Please find instructions available at The Studio how to make booking for children Classes. Children under the age of 16 may only use a Studio and attend Classes if accompanied by an adult and if prior approval has been given by the parent consent form in writing by email.
4. Children of any age may not enter changing rooms or other areas unless they are accompanied by an adult.

Fitness & Health

1. You will be asked to fill out a questionnaire as part of your Membership application in which you must state clearly any health issues/conditions and provide a release form from your medical adviser if these issues/conditions prevent you from doing any form of exercise/Classes.
2. It is a Member’s responsibility to ensure that their physical condition is appropriate for participating in Classes and to ensure that they correctly operate or use any facilities and/or equipment provided by us including the adjustment of levels or settings on any equipment.
3. Some Classes involve intensive exercise. You must familiarise yourself with what each Class involves before assessing whether you are fit to participate in a Class. You should refer to the website and personalised app or speak to a member of staff for further information.
4. You are advised by us and should NOT undertake any physical activities like us in person/on demand Classes without first seeking medical advice. We are not liable for any injuries accrued during our online or on demand Classes taken by you at home, you are taking these at your own risk.
5. Please make sure to read all class descriptions and if you have any concerns over your physical condition, please seek medical advice. We reserve the right to refuse access to any member if, in our absolute discretion, we consider that your health may be endangered by the use of our facilities.
6. If you suffer from low/high blood pressure and/or cardiac irregularities you should not attend any Class unless you have written permission from your doctor.

7. You should not use our facilities if you have any infectious or contagious illness, disease or other ailment or are suffering from any ailment where there is a risk, however small, that such ailment may be detrimental to the health, safety, comfort or physical condition of the other Members. If there is any doubt, you should consult your doctor and must notify us of any circumstances affecting your health which may be exacerbated through continued use of a Studio.
8. You are required to follow the instructions of the instructor at all times.
9. You must inform your instructor if you suffer from any injuries or conditions which may affect your ability to participate in our Classes, first on the health questionnaire, and then if there is any change that the teacher needs to be aware of.
10. We provide personalized fitness assessments to ensure that you and your guests are in good physical condition and capable of participating in exercises without risking your health, safety, comfort, or overall physical well-being. If you require any assistance, please inform the studio reception, and we will gladly accommodate your requirements within reason.
11. We reserve the right to exclude you from a Class if it becomes apparent during that Class that you are suffering from any kind of health or physical issue that may present a danger to yourself or to others.
12. You must not attend any Class if you are under the influence of alcohol, illegal drugs or misuse of prescription drugs.
13. If you are pregnant you must provide a written form from your doctor/midwife confirming that you allowed to take pregnancy Classes such as pregnancy yoga,
pregnancy Pilates and meditation/restorative Classes.
14. If you are post-natal you must have successfully had your six/eight-week check (10-12 weeks for a caesarean) with your GP before starting Classes, to avoid risk of injuries. It is also recommended that you wait until all lochia (bleeding) has completely stopped.

Personal Belongings & Safety

1. We and our employees are not be liable for any loss, damage or theft of any property belonging to, or brought on to or left outside of the Studio by you or your
guests.
2. All personal items must be securely stored in lockers in changing rooms. We do not accept any responsibility for any items left unattended anywhere on our
premises.
3. Members are requested to wear a form of clothing appropriate to the Classes they attend.
4. Footwear should be removed in the changing area/changing room before entering all yoga/Pilates studios. Suitable socks must be worn for Reformer Classes.
5. In the interests of safety and hygiene, no crockery, glass or food are permitted in the changing rooms or any studios.

6. Members must use the main entrance to the Studio when entering or leaving.
7. Fire exits, which are clearly marked, are there in the interests of safety and Members must not interfere with or obstruct these doors for any reason.
8. In the event of a fire, Members are asked to make their way to the nearest available exit and assemble at a safe distance from the Centre so that we may take a roll-call of all those in the Centre when the alarm sounded.

Guest Passes

  1. Lifetime Gold membership includes one guest pass per month. They do this by double booking their own name on a class, and then check their guest in for the
    class on reception.

  2. Rolling Plan members can use one plan credit on a guest, and buy or use one Premium Credit for a guest, every month, as long as they attend the same class
    together. They do this by double booking their own name on a class, and then check their guest in for the class on reception.

  3. Prepaid Top Up card account members can use one Premium Credit on a guest every month. They do this by double booking their own name on a class, and then check their guest in on reception.

  4. Guest passes are only available to individuals aged 18 years and above. Polyworks Ltd will collect basic contact information at the time of booking.

  5. Members can only invite the same guest once every month.

  6. Guests must adhere to all studio rules and guidelines while using their guest pass

  7. Polyworks Ltd reserves the right to refuse a guest pass at any time.

Gift Cards

  1. Gift Cards can be purchased online or at reception in fixed amounts.

  2. Gift Cards may be used towards classes, memberships, treatments, workshops, and café purchases.

  3. Gift Cards are non-refundable and non-transferable.

  4. Gift Cards are valid for 12 months from the date of purchase. Expired Gift Cards cannot be extended.

Lifetime Membership

  1. The Lifetime Gold Membership Plan is the only unlimited plan, and is bound by the same Polyworks Studio General T&C’s as Rolling Membership Plans.

  2. You can buy one of the ten Lifetime Gold unlimited memberships when advertised on our website or reception. If you have a leaflet, you can apply, but the life membership is sold in small numbers for a particular purpose, so might not be available.

  3. The Lifetime Gold is for use in Polyworks Studio Skipton branch during the lifetime of the member, with personalised private access key to back door.

  4. As an optional, but significant benefit, you can choose a Call option agreement to convert Lifetime Gold into 500 shares from 5 years after signup.

  5. Lifetime Gold entitles you to unlimited group Classes in the mat and apparatus studios.

  6. You can book 28 days in advance, from the day you view calendar. There are no restrictions on the number of classes you can book, but the studio reserves the
    right, after warnings, to fine persistent No Shows that disrupt teachers and other members.

  7. You get unlimited in studio virtual Classes, bookable three days in advance.

  8. Lifetime Gold comes with one free Guest Pass every 4 week period, that is bound by general guest pass T&C’s.

  9. You get free access to Digital Library.

  10. You get 10% off all Polyworks Studio products and services.
